Everyone is focused on W-2s, 1099s, and deadlines.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">What rarely makes the calendar?<br>The first real tax-season problem most businesses face isn\u2019t a form\u2014it\u2019s a scam.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">And one scam, in particular, shows up early every year because it\u2019s simple, believable, and aimed directly at small businesses. There\u2019s a good chance it\u2019s already landed in someone\u2019s inbox.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>The W-2 Scam: How It Actually Happens<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Here\u2019s the typical setup:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Someone in your organization\u2014usually payroll or HR\u2014receives an email that <em>appears<\/em> to come from the CEO, owner, or a senior executive.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The message is short and urgent:<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p class=\"wp-block-paragraph\">\u201cHey, I need copies of all employee W-2s for a meeting with the accountant. Can you send them ASAP? I\u2019m slammed today.\u201d<\/p>\n<\/blockquote>\n\n\n\n<p class=\"wp-block-paragraph\">Nothing about it feels strange.<br>Tax season is busy. The request is reasonable. The tone sounds right.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">So the employee sends the W-2s.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Except the email didn\u2019t come from the CEO.<br>It came from a criminal using a spoofed email address or a look-alike domain.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">And just like that, the attacker now has every employee\u2019s:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Full legal name<\/li>\n\n\n\n<li>Social Security number<\/li>\n\n\n\n<li>Home address<\/li>\n\n\n\n<li>Salary information<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Everything needed for identity theft.<br>Everything needed to file fraudulent tax returns\u2014before your employees do.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>How Businesses Find Out<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">This is usually how it surfaces:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">An employee files their tax return.<br>It gets rejected: <em>\u201cA return has already been filed for this Social Security number.\u201d<\/em><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Someone else claimed the refund. The money is gone.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Now that employee is dealing with the IRS, credit monitoring, identity theft reports, and months of paperwork\u2014because of a document they didn\u2019t even know had been shared.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Now multiply that by your entire payroll.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That\u2019s not just a security incident.<br>It\u2019s a trust issue. An HR crisis. A potential legal problem. A reputational hit.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Why This Scam Works So Well<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">This isn\u2019t an obvious phishing email. It succeeds because:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>The timing is perfect.<\/strong> W-2 requests are normal in February.<\/li>\n\n\n\n<li><strong>The request is reasonable.<\/strong> This is information that really does get shared.<\/li>\n\n\n\n<li><strong>The urgency feels legitimate.<\/strong> Busy leaders ask for quick help all the time.<\/li>\n\n\n\n<li><strong>The sender looks real.<\/strong> Criminals research names, roles, and relationships.<\/li>\n\n\n\n<li><strong>Employees want to help.<\/strong> Especially when the request appears to come from the boss.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Urgency overrides verification\u2014and attackers count on that.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>How to Protect Your Business (Before This Happens)<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The good news: this scam is highly preventable. It\u2019s more about policy and culture than expensive tools.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>No W-2s via email. Period.<\/strong><br>Sensitive payroll documents never leave the organization as email attachments\u2014no exceptions.<\/li>\n\n\n\n<li><strong>Verify sensitive requests using a second channel.<\/strong><br>Phone call. In person. Chat. Anything except replying to the email.
